Why is this happening?

To upgrade you to the latest version of Workspace, with new features, listed below:

  1. The ability to drag and drop files from your desktop to your Workspace, as well as moving files and folders from within Workspace itself
  2. View and end active user sessions remotely
  3. The ability to request files from within Workspace
  4. Document tagging
  5. Folder level discussions
  6. Improvements to the bulk CSV group user upload
  7. Enhanced auditing for deleted messages within a discussion tab

When will the downtime be?

You will be sent an email prior to the planned upgrade time, with the exact dates and times of the upgrade. Please note that you will not be able to access your Workspace server between these times.

Will the downtime be out of hours?

Yes, this will be conducted out of hours. 

What if I want to change the time/date this is being conducted?

Please reply to the email with a preferred downtime window.

What is the impact to me during the downtime?

You will not be able to access the Workspace during this time including the API. If you have a Webform linked to your Workspace this will also be unavailable during this time.

What will users see when they navigate to Workspace during the downtime?

There will be a maintenance page to let users know this is offline.

What changes will the users see after the migration?

There will be some major UI changes as we have updated our branding theme. If you have these customised they will remain in your branding colours. Additionally, if you choose to enable our new features, these will be visible to your users.

Where will the information be hosted in Azure?

These upgrades are all UK based so will be hosted in the UK.

What do we need to do to access the new environment/Do we need to make any firewall changes?

The IP address of the server will be changing, but you will only need to update your firewall if you have network restrictions in place that are IP based. If you have allowed access to your Workspace via a URL, nothing will need to be updated as the URL will remain the same.

If you have a custom domain for Workspace (i.e anything other then xxx.egresscloud.com) you will have to update your DNS records to point to the new IP address.

Is this change just the migration with the upgrade to follow or both?

Firstly, your data will be migrated to our new storage platform in Azure. After this has completed you will be emailed a date for when your Workspace will be moved onto our new platform. Once you are on our new platform you will be on our latest Secure Workspace release (v4.9.1).
